Depending on your relationship with Carriden Boatyard, we may collect:

  • Your name, address, telephone number and contact details.
  • Enquiries about boats, projects, storage space and visits.
  • Details needed to manage a storage arrangement, including the boat or project, space used, signed terms, payment records and correspondence.
  • Emergency contact or next-of-kin details provided for safety and emergency purposes.
  • Limited technical information associated with visits to our website, such as information needed to operate the site and prevent misuse.
  • Images of people and activity captured in monitored areas by the recently installed CCTV system, where individuals can be identified.

Please do not send sensitive personal information through the general website contact form. We will ask for any further information only where it is needed for a particular purpose.

Why we use information and the legal basis

We use personal information to respond to enquiries, arrange viewings, discuss availability and prepare storage arrangements. When responding to requests to enter into an agreement, we rely on steps requested before a contract; for general enquiries, our legitimate interest is in responding to people interested in the boatyard.

We use customer information to enter into and manage storage agreements, provide access and facilities, deal with payments and keep appropriate records. Our legal bases include performance of a contract and compliance with legal obligations, such as tax and accounting requirements.

We may use limited contact and emergency information where reasonably necessary to protect people, boats and property or to contact someone in an urgent situation. This is generally based on our legitimate interests in safe, responsible boatyard management; in a genuine emergency another legal basis may apply.

Next-of-kin and emergency contacts

We ask customers for appropriate emergency contact details so we can reach someone if an urgent problem arises. We use these details only where there is a legitimate operational or safety reason, keep access restricted and ask customers to keep them accurate.

If you provide another person’s details, please tell them that Carriden Boatyard holds their contact information for this purpose and direct them to this Privacy Policy. We will also provide privacy information directly where required and reasonably practicable. Emergency contacts can contact us about the information we hold concerning them.

Who information may be shared with

We limit access to people and organisations who need the information for the purposes described above. Depending on the circumstances, this may include website hosting and IT providers, our bank, accountants or professional advisers, or emergency services and public authorities where necessary or required by law.

We do not publish customer records or completed forms on the website. We take care to share only information reasonably necessary for the relevant purpose.

How long we keep information

We keep enquiries only for as long as reasonably needed to deal with them and any relevant follow-up. We keep customer and storage records for the duration of the arrangement and afterwards where necessary for legal, accounting or legitimate dispute-resolution purposes. Applicable legal record-keeping periods and the nature of the information determine how long those records are retained.

Emergency contact details are reviewed as necessary and should be removed when no longer needed, unless there is a specific legal reason to keep them. We aim to dispose of personal information securely when it is no longer required.

Security and international services

We take reasonable steps to protect personal information, including restricting access to customer records and using appropriate security measures for website and business systems.

CCTV at Carriden Boatyard

We have recently installed CCTV at Carriden Boatyard for security, crime prevention and the investigation of safety incidents. Cameras may record identifiable people in the areas they cover. We generally rely on our legitimate interests in protecting people and property. Recordings may be viewed by authorised people and shared with the police or other recipients where necessary and lawful.

Recordings are kept securely and routinely retained for 60 days. Footage may be kept longer where necessary and lawful, for example to investigate an incident, comply with legal obligations or preserve evidence. CCTV warning signs are displayed on both entrance gates and around the boatyard.

Some of the service providers used to operate a modern website or business may process information outside the UK. Where international transfers of personal data take place, we must make sure an appropriate lawful transfer mechanism or safeguard applies. We review relevant service providers and arrangements as part of managing the website.

Your rights

Under UK data protection law, you may have rights to request access to personal information we hold about you, ask us to correct inaccurate information, request erasure or restriction in appropriate circumstances, object to certain uses and receive information in a portable format where that right applies. The rights available depend on the circumstances and the legal basis for our use of your data.
